IPE Travel Arrangements Process
IPE’s travel arrangements process is designed to enable IPE to streamline the booking and payment system for your trips, removing the need for you to pay in advance and seek reimbursement using lengthy forms and uploads post-event. It also allows us to better monitor and mitigate the carbon footprint of our events.
This process will offer you the best travel options based on our policy and terms and conditions. The terms and conditions will apply to all relevant IPE events and we will only approve payment for travel arrangements that are made accordingly.
Terms and Conditions
Once your accommodation has been booked and charged to and/or paid for by IPE, you will be responsible for any late cancellations fees. Failure to attend the event will not release you from the obligation to pay all associated costs related to the booking made for you. |
By registering to attend the event, you agree to attend as indicated. This condition becomes valid and is applicable to your registration when you receive confirmation that your registration is approved. The confirmation makes your registration final. |
IPE does not reimburse any travel arrangements that are not booked using the dedicated travel platform partnered by Travel Perk. |
You should only use the Travel Perk platform when invited to book your travel to a specified event when your registration is approved. Any attempts to book travel other than to a specified event or before your registration for a specific event is approved will be declined. |
IPE does not support group bookings on TravelPerk. You must book your own trip only. |
You must attend as indicated to qualify for appropriate benefits. We will seek reimbursement of any accommodation or travel costs from you where you do not attend any given part as indicated or cancel before the event takes place. |
IPE covers one flight/train plan per delegate only. IPE cannot approve changes to your plan at IPE’s expense once it has been approved and paid by IPE. Any changes you wish to make to any part of your flight/train plan will be at your own expense, should be made independently and cannot be made using your IPE TravelPerk account. Please note that IPE will seek reimbursement of any financial loss that changing your travel plan incurs to IPE. |
IPE does not cover any incidental travel or ground charges such as, but not limited to, taxis or public transport as part of your travel to and from or during your stay at the specified event, including to and form airports and train stations. |
Only direct return economy class tickets from your point of origin to the specified event city can be booked through this service. |
Travel options other than economy or standard classes will not be approved or processed. Any bookings based on other travel classes, including, but not limited to, flexible economy, economy plus, smart economy, premium economy, standard premier, business or first class will be declined. |
You should select the most cost-effective option. IPE reserves the right to redirect you to alternative options that are more cost-effective than those that you submit for approval. |
You can only book tickets within a date range that IPE determines that corresponds to the dates and timings of the specified event. |
Travel by train will be preferred and offered as a primary option to delegates whose point of origin is within 500 kilometres of the event city. IPE reserves the right to decline any flights that you submit for approval within 500 kilometres of the event city and propose alternative arrangements by train. |
IPE does not cover seat selection charges. |
IPE does not cover any upgrade charges. |
IPE does not cover the cost of hold, extra or overweight baggage. |
IPE does not cover any insurance charges. |
IPE does not cover the cost of any food, meals and/or beverages at any time as part of your travel to and from or during your stay at the specified event. |
IPE does not support or cover any costs associated with travelling by car to and from or during your stay at the specified event, including electric vehicles. |
IPE does not reimburse any tickets or arrangements to travel that are processed using a payment method other than the IPE default payment at Travel Perk. |
You must indicate that you have read and understood these Terms & Conditions during the registration process or where prompted. |
